How Long-Term Care Facilities Can Achieve Labor Savings

While many facilities have purchased technologies that made similar promises of labor reduction, in the end, staff still had to enter, and constantly update, schedules to achieve those savings, Sadler points out.

- What are the top staff management issues that LTC facilities are faced with today?

One, controlling labor cost. Second, legal liability from compliance with labor laws and violations thereof. Third, positive identification of employees on site, being assured the employee clocking in is actually that employee.

- What problems can facilities eliminate and how?

LTC facilities can reduce labor cost by two to four percent, through a process we have developed that assures employees work a valid shift without requiring any manager intervention. The problem with most time-keeping systems is that someone has to put schedules in for each person and maintain them throughout the week as they change. This can be done automatically. People can be assigned to a schedule as they punch in, with no one having to do the work. This eliminates "time creep" that is often the cause of labor variances.

- Why do you consider the Peoplenet technology to be better than other solutions in the market?

Because it assures employees' times match valid shifts which makes labor cost more predictable. Many facilities have bought technologies that promised labor savings, but in the end, their people had to fight with the computer to put schedules in and they could not keep up with it. They failed to achieve that result because they could not implement the schedules. So they reverted back to quarter hour rounding, which does not provide labor savings and creates labor variances. With our Soft Scheduling technology, if an employee's schedule changes, the system realizes it when the employee is punching in, and assigns them to the new shift automatically.

- What liabilities could this technology eliminate?

In this market, facilities must know that the people who were supposed to be there were the actual people who punched in. Facial recognition technology is very beneficial for this purpose. In the event of an incident or an accident, if the logs are checked to determine whether the scheduled Certified Nursing Assistants were on site, there will be positive proof that there were.

In these facilities, people are often called off their break for a number of legitimate reasons. The law is very specific regarding breaks and it can vary by state. Peoplenet has developed an approach that gives the employee the ability to verify completed breaks and report variances to their break. Short breaks are recorded with a reason and reported to managers for review. This automated approach assures DOL compliance while controlling time creep through "short break" abuse.
